What Should You Do If a Chinese Hotel Refuses Check-In Despite a Confirmed Booking?

After booking, message the property and ask it to confirm in writing that all travelers can check in with foreign passports, that the front desk will be open at your expected arrival time, and that the room will still be held if you arrive late.
If the hotel still refuses check-in, spend a few minutes checking the exact branch, date, booking status, guest names, original passports, room payment, and deposit. Ask the manager to identify the real problem, then contact the booking platform before canceling anything yourself.
If the hotel and platform cannot produce a usable room quickly—especially late at night—move to another hotel that has confirmed it can check you in. Get yourself and your luggage settled first. Handle the original booking, refund, and any price difference after you are safely inside a room.
Reduce the Risk Before You Book
For a first night in China, I would not choose a hotel only from the photos, price, and star rating.
I would also look for signs that the arrival will be simple:
- recent reviews from foreign travelers;
- a real front desk;
- clear check-in hours;
- a complete address and branch name;
- a working contact method;
- a manageable payment and deposit setup;
- an easy backup nearby.
A regular hotel with a staffed front desk is usually the lowest-friction option for a first arrival, especially when you land late or have several bags. A guesthouse, serviced apartment, or small property may still be fine, but it needs clearer communication before arrival.
China’s current accommodation policy does not support using a special “foreign guest qualification” as a general barrier preventing accommodation businesses from receiving overseas travelers. It also tells platforms and properties not to publish improper blanket statements saying that overseas guests are not accepted. That policy direction is useful, but it does not guarantee that every night-shift employee understands the registration process or that every property is well managed. Get Written Confirmation After Booking
A confirmed order is useful, but I would still send the hotel one direct message through the booking platform:
All guests in this booking will check in with valid foreign passports. Please confirm that your hotel can register us and complete check-in at our expected arrival time.
Include:
- the arrival date;
- your expected time;
- the number of foreign-passport guests;
- whether you may arrive after midnight;
- whether the room is prepaid;
- whether a deposit is required.
If you expect to arrive late, ask separately:
We expect to arrive at around 12:30 a.m. Please confirm that the front desk will be open and that the room will still be held.
Save the reply.
The written confirmation is not a magical guarantee. Its value is that it can expose a problem before you fly, and it gives the manager and booking platform a clear record if the front desk later says something different.
A reply such as “please ask when you arrive” is not strong preparation for a first-night stay. If the property will not clearly confirm foreign-passport check-in or late arrival, I would change hotels while there is still time.
For an arrival after midnight, confirm whether a late-arrival room will still be held.
Recheck the Booking Before Departure
One or two days before travel, open the actual order again. Do not rely only on an old email subject line.
Check:
- the full hotel name;
- the exact branch;
- the Chinese address;
- the check-in date;
- the current confirmed status;
- every guest name;
- prepaid or pay-at-property status;
- deposit information;
- late-arrival confirmation;
- hotel phone number;
- booking-platform support entry.
Several hotels in the same city can have similar English names. Turning up at the wrong branch is far more common than many travelers expect.
Every guest should carry the valid original passport used for the stay. A phone photo can help you check a spelling or number, but it is not a normal replacement for the original document at the front desk. I would also save the hotel’s written reply, order number, Chinese address, phone number, payment status, and one or two nearby backup hotels offline.
First Identify the Exact Reason for the Refusal
If check-in fails, do not begin by assuming that the hotel has rejected you simply because you are foreign.
Ask:
What exactly is stopping the check-in?
The answer usually falls into one of four groups.
Booking or branch problem
Check whether:
- you are at the correct property and entrance;
- the date is correct;
- the order still says confirmed;
- the front desk searched the correct platform;
- the guest name matches;
- the platform order reached the hotel.
If the desk cannot find the booking, ask it to search by order number, guest name, platform, and arrival date.
Passport or guest-detail problem
Check whether:
- every traveler has the original passport;
- the reservation name matches the passport;
- all guests are included;
- the employee knows how to enter a foreign passport.
If the employee appears unsure, ask for the manager rather than repeating the same explanation.
Room payment or deposit problem
Ask directly:
Is the problem the room payment, the deposit, or the booking itself?
A prepaid room does not necessarily include the front-desk deposit. A foreign card may complete the original platform payment but fail on a hotel preauthorization.
Ask whether the property can accept another card, RMB cash, Alipay, WeChat Pay, or another documented method. When this is the real issue, separate the room payment from the hotel deposit.
Room unavailable
The property may be overbooked, have a room fault, have released the room, or have no usable room in the booked category.
At that point, stop debating passport policy and ask a practical question: can the hotel provide another room, arrange a nearby property, or confirm that the booking cannot be fulfilled?
Ask the Manager and Contact the Booking Platform
When the ordinary front-desk employee cannot solve the problem, ask for the duty manager.
Show:
- the original passports;
- the confirmed booking;
- the written foreign-passport confirmation;
- the late-arrival confirmation;
- the payment status.
Then contact the booking platform from the original order page.
Keep the message short:
The booking is still confirmed, but the hotel is refusing check-in. We have our original passports, and the hotel confirmed before arrival that it could check us in. Please contact the property and tell us whether the room can be provided or whether we should move to another hotel.
Ask the platform:
- Can the original hotel provide a usable room now?
- Can the platform arrange another nearby property?
- Who should cancel the original booking?
- Will booking another room affect the refund?
- Does the platform need to approve the new booking first?
Do not cancel the original order in anger. A self-cancellation may be recorded differently from a hotel that cannot fulfill a confirmed stay, which can affect how the platform reviews the refund or rebooking request.
Do not assume that every platform automatically pays all price differences or transport costs. The specific order terms and the written support response matter.
If It Is Not Solved Quickly, Secure the Night
At 3 p.m., waiting a little longer may be reasonable. At 1 a.m., the decision changes.
Start looking for another hotel when:
- the property clearly has no room;
- the manager has no usable solution;
- the staff cannot complete passport registration;
- the platform keeps repeating that it is still checking;
- your phone battery or transport options are getting worse;
- you are traveling with children, older relatives, or exhausted companions.
Before paying for the replacement, message or call the new hotel:
We are foreign travelers with valid original passports and need to check in tonight. Can you confirm immediate check-in?
Choose a place with a staffed front desk, a clear address, immediate confirmation, and a payment or deposit method you can actually use.
When possible, get the booking platform’s written approval before booking the replacement. If the platform does not respond and it is no longer sensible to wait, secure the room anyway and keep the record of why you had to move.

Keep the Evidence and Handle the Refund Later
You do not need to film the staff continuously. A clean record is usually more useful.
Keep:
- the original order and confirmed status;
- the hotel’s written passport confirmation;
- late-arrival messages;
- payment records;
- arrival time;
- the exact reason given by the hotel;
- the manager’s response;
- platform chat records;
- the support case number;
- approval to rebook, if given;
- the replacement booking;
- the new room charge and necessary transport receipts.
Write a short timeline:
12:20 a.m. — Arrived at the confirmed hotel. 12:30 a.m. — Front desk said check-in could not be completed. 12:40 a.m. — Manager could not provide a room. 12:45 a.m. — Contacted the booking platform. 1:20 a.m. — Booked another hotel because no usable room was provided.
The next day, ask the platform to review the unused original stay, refund, and any rebooking protection that applies to the order.
Do not send full passport or card images unless the legitimate platform process actually requires them. Redact details that are not needed.
Final Pre-Arrival Hotel Check
Before traveling:
- confirm the correct hotel and branch;
- confirm all guest names;
- carry every original passport;
- get written confirmation of foreign-passport check-in;
- confirm the arrival time and front-desk hours;
- confirm the room will be held after a late arrival;
- check the room payment and deposit;
- save the order number, Chinese address, and hotel phone;
- save the booking-platform support entry;
- prepare one or two nearby backup hotels;
- recheck the order the day before arrival.
When this happens, do not spend the whole night stuck at the front desk. First work out where you can actually stay tonight, get yourself and your luggage settled, and deal with the original booking, refund, and any price difference once you are safely checked in.
